Pillarbase

Privacy Policy

Effective Date: April 21, 2026 · Last Updated: April 21, 2026

The Pillar-Based Marketing Company, LLC ("we," "us," or "our"), an Indiana limited liability company, operates the Pillarbase platform ("Service") at pillarbase.ai. This Privacy Policy describes how we collect, use, and protect your information when you use our Service.

1. Information we collect

Account information. When you create an account, we collect your name, email address, and password (stored as a cryptographic hash). If you belong to an organization, we associate your account with that organization.

Usage data. We collect information about how you use the Service, including pages visited, features used, and actions taken within the platform. This helps us improve the product and troubleshoot issues.

Content you provide. We store content you create or upload through the Service, including keywords, content briefs, articles, strategy data, and uploaded documents. This content is necessary to deliver the Service to you.

Third-party integrations. If you connect third-party services (such as Google Drive, HubSpot, or WordPress), we store encrypted OAuth tokens to maintain your connection. We access only the minimum data and permissions required to provide the integration features you use. For Google Drive specifically, we use the drive.file scope, which limits our access to only files that Pillarbase creates — we cannot see or access other files in your Google Drive.

2. How we use your information

  • To provide, maintain, and improve the Service
  • To authenticate your identity and manage your account
  • To generate content, reports, and analyses you request
  • To connect with third-party services you authorize
  • To communicate with you about your account or the Service
  • To detect and prevent security issues or abuse

3. How we protect your information

We take reasonable measures to protect your information, including:

  • Passwords are stored using industry-standard cryptographic hashing
  • Third-party OAuth tokens are encrypted at rest using Fernet (AES) encryption
  • Access to the Service requires authentication
  • Administrative access is restricted to authorized personnel

4. Data sharing

We do not sell your personal information. We may share information only in the following circumstances:

  • Third-party services you connect. When you authorize integrations (e.g., Google Drive, HubSpot), data is shared with those services as necessary to perform the actions you request.
  • Service providers. We use third-party APIs (such as OpenAI) to power AI-generated content features. Content you submit for generation is processed by these providers subject to their own privacy policies.
  • Legal requirements. We may disclose information if required by law, regulation, or legal process.

5. Data retention

We retain your data for as long as your account is active or as needed to provide the Service. If you request account deletion, we will remove your personal information within a reasonable timeframe, subject to any legal obligations to retain certain records.

6. Cookies

We use session cookies to keep you logged in and maintain your preferences. We do not use third-party tracking cookies or advertising cookies.

7. Your rights

You may:

  • Access and update your account information through User Settings
  • Disconnect third-party integrations at any time
  • Request a copy of your data or request deletion by contacting us

8. Children's privacy

The Service is not intended for individuals under the age of 18. We do not knowingly collect personal information from children.

9. Changes to this policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page with a revised "Last Updated" date.
